We ask that citizens adhere to the following protocol:

 

Appointments with the Mayor:

 

Your time is important to us! Please contact us at (870) 543-1855 to schedule an appointment. Please provide an overview of your meeting to ensure an
adequate allotment of time. To facilitate the process, please fill out a Mayor’s Office Appointment Request Form and return it to the Mayor’s Office.

 

Event Invitations for the Mayor:

 

Invitations must be submitted in writing via mail, fax or email:

We ask that you submit your request within four weeks of the event, however, all invitations will be given due consideration. Please include the following:

 

The date and time of the event (and whether these are flexible)

The name, telephone, fax and email for contact person

Background information on the event and the organizers

The venue

Number of people expected to participate

The role you would like the Mayor to play (e.g. speech, award presentation, attendance only, etc.)

Description of the audience (e.g. youth, adult, retirees, etc.)

 

You will receive confirmation within one (1) week of your request.

 

To facilitate this process, please fill out an Event Invitation Form and return it to the Mayor’s Office.

 

Proclamation and Congratulatory Letter Requests:

 

The office of the Mayor issues proclamations to provide an opportunity for the Mayor to recognize exceptional events and people. The goal of a proclamation is to recognize and celebrate the extraordinary achievements of our citizens and non-profit organizations, to honor occasions of importance and significance to the citizens of Pine Bluff, and to increase public awareness of issues with the hope of improving the well being of our citizens.

 

Proclamation Guidelines:  Requests should be submitted in writing within four weeks of the event. Where special circumstances may exist each request will be reviewed on a case-by-case basis.

 

To facilitate the process, please fill out a Proclamation Request Form or a Congratulatory Letter Request Form and return it to the Mayor’s Office.

 

We ask that people or organizations of the City of Pine Bluff make requests, and that out-of-town requests have a local sponsor.

 

Proclamations will not be issued for:

 

>          Matters of political controversy, ideological or religious beliefs, or individual convictions

>          Events or organizations with no direct relationship to the City of Pine Bluff

>          Campaigns or events contrary to City policies or by-laws

 

Other:

 

An organization may request only one proclamation annually.

 

More than one cause can be proclaimed simultaneously. An organization does not have exclusive rights to the day, week or month of their proclamation.

 

If the proclamation criteria are not met a Congratulatory Letter Request Form will be provided. Congratulatory Letters from the Mayor will usually be issued for such occasions as the following:

 

Births, Birthdays, Eagle Scouts, Girl Scout Gold Awards, Royal Rangers Gold Medals, Retirements, Weddings, Anniversaries and other such special achievements.

 

 

 

 

Boards and Commissions:

 

If you are interested in serving on a board or commission, please fill out an Application Form for Appointment to City Boards, Commissions and Committees.

 

Donations/Sponsorships:

 

As outlined by Attorney General’s Opinion No. 91-410 (Allowable Expenditures of City and County Funds) monetary donations are not made on behalf of the City of Pine Bluff from the Office of the Mayor.
